A return date keeps objects from vanishing into jacket pockets and glove compartments: once it has passed, Log+Key shows the object as Overdue and can send an email automatically. You either set the date yourself at each take-out or let rules set it automatically.
Take-out with a return deadline, then a rule under Settings → Default return deadline
At take-out in the web app
- Open the object and click Take.
- In the Take object dialog, choose Today, Tomorrow, In one week or Specific return date with a date under Set return deadline. None leaves the take-out without a deadline.
- Confirm with Confirm with PIN and your personal PIN.
When you assign an object to someone else, the field is called Latest return deadline and only becomes available with the switch Override default return deadline – see Assigning objects.
Roles with the permission Return Deadline in Browser see the field – set in all three standard roles.
At take-out at the terminal
- Scan the object. It appears under Objects will be taken.
- Expand Options on its card.
- Under Return deadline, choose Today, Tomorrow, In one week or Specific return date with a date. None leaves the take-out without a deadline.
- Tap Confirm.
Roles with the permission Return Deadline in Terminal see the choice – admins and owners by default, not users.
Automatically: the default return deadline
With rules, Log+Key sets the deadline at every take-out by itself – nobody has to remember.
- Open Settings and scroll to the Default return deadline section.
- Click Add first rule – once rules exist, the button reads Add rule.
- In the Add rule dialog, define what the rule applies to:
- Type – a specific type or All types,
- Role – a specific role or All roles.
- Enter the Return deadline – in Months, Days, Hours and Minutes, for example 6 hours for vehicle keys.
- Click Add. The rule appears as a row with type, role and loan period, for example 6 hours; the icons next to it edit or remove it.
- Click Save at the bottom of the page. Log+Key confirms that the settings were saved.
If several rules match a take-out, the shortest deadline applies. Without a rule the deadline stays empty until someone picks a return date at take-out. With a rule, Set return deadline in the Take object dialog is already prefilled with the calculated date (Specific return date). If you choose something else, your choice applies – Tomorrow means tomorrow, 23:59.
When the deadline passes
- In the object list the Status changes to Overdue; the detail page shows the passed Return deadline with date and time. Filter → Overdue shows all affected objects at a glance.
- Under Settings → Notification settings → Emails for overdue objects, admins decide who gets an email:
- Contact current holder of the overdue object – the person who has the object.
- Additional email notification for all overdue objects – further addresses, such as the key management office, via Add.
The email goes out the moment the object switches to Overdue – once, without repeats.
Changing a date afterwards
A return date, once set, cannot be changed afterwards – the Edit object form has no field for it either. So choose the right date at take-out.
