Taking over an object from a colleague

How to take over an object in Log+Key directly from another person — on the road by smartphone or at the terminal, without a detour via the cabinet and fully documented.

Two colleagues meet in the field, and one takes over the key for the next round. Instead of bringing the key back first and taking it out again, you book the handover directly: the object moves to the new name in Log+Key, and the history records who took it over from whom.

Smartphone: scanning an object someone else has, tapping “Transfer” and confirming with the PIN

Before you start

You need the permission Object Transfers – set in all three standard roles, so everyone has it. The object must currently be taken out by another person.

In the web app or on a smartphone

  1. Open the object: scan its NFC tag with your smartphone or find it under Objects. The scan opens the object’s detail page directly.
  2. Because another person has the object, the button on the detail page reads Transfer instead of Take.
  3. Tap Transfer. The Transfer object dialog shows the object with the note Object transfer.
  4. Optional: add a Comment, for instance which round you are taking the object over for.
  5. Tap Confirm with PIN and enter your personal PIN.

Afterwards the Taken by column shows your name, and the object appears among your own take-outs.

At the terminal

  1. Sign in at the terminal and hold the object to the reader.
  2. The terminal lists it under Objects will be transferred from another person, with the note Transfer from ….
  3. Choose Take objects – the take-out moves to your name. (Return objects, by contrast, returns the object on the other person’s behalf; it is available again afterwards.)
  4. Tap Confirm and complete the Confirm action dialog with Confirm.

Confirm stays disabled until you have made one of the two choices. The full flow with pictures is in Using the terminal day to day.

Notifying the previous holder

Log+Key can email the person who had the object before about the take-over. An admin switches this on under Settings → Notification settings: Send email to previous holder on object transfer.

In the history

The take-over appears in the History as the action Object transfer: Performed by names the person who took it over, Affected user the person who had it before. A transfer at the terminal is listed as a take-out (Available → In use) marked Automatic transfer – again with the previous holder under Affected user.
