With and without Log+Key
What goes wrong with keys at estate agencies
-
Without Log+Key: “A viewing in 30 minutes – so where’s the key?”
With Log+Key: Live status shows at once whether it’s on the board or who has it.
-
Without Log+Key: Several agents, one key board – and nobody signs keys out.
With Log+Key: A smartphone scan records every checkout with name and timestamp.
-
Without Log+Key: After completion: which keys went to the buyer?
With Log+Key: Buyers or tenants confirm the handover with a signature on the tablet.
-
Without Log+Key: Months later, the owner asks about their cellar key.
With Log+Key: One look at the history covers everything from intake to return.
Before the viewing
See at once who has the property key
Is the key on the board, or still with the colleague from the last viewing? One search shows its live status, and the history shows every checkout and return, even months after the owner dropped it off.

Handover after completion
Front door, flat, cellar: confirmed by signature
Buyers or tenants sign for the keys on screen, and the PDF receipt goes to them by email. So you can always show owners where their keys were and who received them.
Screencast: taking out a key ring from the object list, confirmed with an on-screen signature; it then shows “In use”
Small team, little overhead
Take the key, scan it, off to the viewing
A smartphone scan logs the checkout with name and timestamp, with no app to install and no training. With several agents sharing one key board, no key leaves unnoticed any more.
Film: an NFC tag is scanned with a smartphone and the app lists the items to check out; then a hand holds the tag to the terminal, which confirms the checkout
Key management for estate agencies
From the owner to the handover: every key accounted for.
Viewings without friction
While a property is on the market, its key passes through many hands: colleagues, the photographer, the energy consultant, tradespeople for home staging. With Log+Key, everyone scans the key out and back in within seconds — the live overview shows who has it at any moment. When the next viewing comes up, you can see straight away whether the key is on the board or where it is. No more ringing round the office.
Owners' keys with evidential value
The moment keys are handed in, your agency takes responsibility for someone else's property. Log+Key documents the intake with the date, the number of keys and (if desired) a signature — and the return at the end of the mandate in exactly the same way. If an owner asks about their cellar key months later, you answer with a glance at the history instead of a search operation. That builds trust long before completion day.
Handover on sale and letting
The final act of every transaction is the key handover: front door, flat door, cellar, garage, letterbox. With Log+Key you record which keys went to the buyer or tenant — with a timestamp and a signature on the tablet. If the question of whether the garage key was included comes up later, there's a clear answer instead of "your word against theirs". For handovers to new tenants there is the key record for move-in and move-out, for your own stock the key register template — both free.
Small team, no admin overhead
Estate agencies rarely have an IT department — and don't need one for Log+Key. Sign-in works with a PIN, the interface explains itself in minutes, and for up to 10 objects, such as keys or key bundles, Log+Key is completely free. You start without hardware: any smartphone or tablet in the office will do.
Property management under the same roof?
Many agencies also manage properties — with tenant changes, tradespeople appointments and owners'-association requirements. For that day-to-day we have a dedicated page: key management for property management firms.

Frequently asked questions
Answers for your industry
-
We're a small agency with 3 agents — is it even worth it?
If the "where's the property key?" phone call happens regularly before viewings and costs 5–10 minutes each time, that quickly adds up to 1–2 hours a week. Log+Key usually pays off from this scale onwards. With the free tier of up to 10 objects, such as keys or key bundles, you can try this out risk-free.
-
How do we document taking keys in from an owner?
When keys are handed in, you create the key with the property address and owner's name and scan it in — with the date, the number of keys and, if desired, a signature on the tablet. When the mandate ends, you scan it back out. Both remain permanently documented in the history.
-
Several agents share the property keys — how do we keep track?
Every withdrawal is attributed to the person who scans the key. The live overview shows at any time which key is with whom — including on a smartphone when out and about. The "who had it last?" guessing game disappears.
-
What happens at the handover after completion?
You scan out all the property's keys — front door, flat, cellar, garage, letterbox — and hand them to the buyer, with a signature if desired. That documents which keys were handed over and when, in case questions come up later.
-
Do photographers or tradespeople need their own account?
No. You scan the key out, select the recipient from your contact list or enter their name, and set a return date. External recipients never need access of their own.
-
Where is our data held? Is it GDPR-compliant?
Hosting is exclusively in Germany, and a data processing agreement is in place. For agencies handling owners' and prospective buyers' data this is particularly relevant — we provide specific information on request. More on the topic of security.
