Using the terminal day to day

How taking out and returning objects works at the terminal — sign in, scan objects, pick a return date, confirm — and what the overview after signing in shows.

The terminal is the fast lane for everyday use: sign in, hold objects to the reader, confirm — done. This page walks through the flow step by step. How to sign in at the terminal is covered in Signing in to the web app.

The overview after signing in

After signing in you see your name at the top right with Change PIN and Log out. Below sits the list of your current loans — everything taken out in your name. Admins additionally get three views to choose from:

  • Only my objects — your own loans; active after signing in.
  • All taken — every object someone currently has in use, with the Taken by column.
  • All objects — the whole inventory with its status.

Search, Filter and View work as in the web app. The bar at the bottom tells you what happens next: Scan an object to start.

Taking objects out

  1. Hold the object’s tag to the terminal’s NFC reader. The terminal switches to Take/Return and lists the object under Objects will be taken.
  2. Scan further objects if you are taking several — each one joins the same list, and the counter next to Confirm counts along. Remove an object you scanned by mistake with the × on the right of its card.
  3. Optional: expand Options and pick a Return deadline — Today, Tomorrow, In one week or Specific return date with a calendar date. None leaves the loan without a deadline.
  4. Tap Confirm.

The Confirm action dialog shows once more what is about to happen — for example Available → In use for one object. Here you can leave a comment or switch on Confirm action with signature or Send email receipt. Confirm books the take-out; with the signature switched on, the button reads Continue and leads to the signature field first.

The terminal then returns to the overview; the object now appears under Only my objects with the status In use.

Returning objects

Returning works the same way: hold the object to the reader. Because it is taken out in your name, the terminal sorts it under Objects will be returned. Take-outs and returns can be mixed in one go — every scanned object lands in the matching list automatically. Confirm opens the same dialog, this time with In use → Available.

Cancel in the bottom bar or the arrow at the top left discards the scanned list without booking anything.

Taking over objects someone else has

If you scan an object that is currently taken out by another person, it lands under Objects will be transferred from another person, with a note saying from whom. The terminal asks for a decision, and Confirm stays disabled until you have made one:

  • Take objects — the loan passes to your name. The previous holder can be informed by email if your admin has enabled that in the settings.
  • Return objects — you return the object on behalf of the other person; it is available again afterwards.

After the decision the object moves to the matching list, and Confirm opens the familiar dialog — for a takeover with the transition to In use by you.

Changing your PIN and logging out

Change PIN at the top right sets a new four-digit PIN: the terminal asks for your current PIN first, then for the new one. It is the same personal PIN you also use to confirm actions in the web app. Log out ends your session immediately; after a while without input, the terminal also logs you out by itself. An admin sets that period under Settings → Terminal settings.
