A receipt confirms in black and white who received or returned which object, and when. Log+Key creates it as a PDF – to print and file, or as an email to the person receiving the object. That is especially useful for handovers to external people.
Opening a history entry, sending the receipt and choosing a contact as recipient
Before you start
Two permissions control receipts:
- Print Receipts – set in all three standard roles.
- Send Email Receipts – admins and owners by default, not users.
Sending by email right when you book
The take-out, return, assignment and receive dialogs have the switch Send email receipt:
- In the web app in the Take object, Return object, Assign object and Receive object dialogs.
- At the terminal in the Confirm action dialog.
Switch it on before you confirm. The button then reads Continue and leads to the Send email receipt step – in the web app and at the terminal alike: choose the recipients as described below and finish. If the signature is switched on as well, the signature pad follows afterwards.
Printing or sending later – from the history
You can also create the receipt for an event in the history afterwards:
-
Open the History and click the event. The History entry page opens with the time, the people involved, the device, the object and the location.
-
At the bottom, choose:
- Print receipt – opens your browser’s print view with the receipt: logo, a heading with the date and time, the person’s name and email address, the device, and the object with name, action and location – for a take-out with a deadline also the return deadline. From there you print the receipt or save it as a PDF. Log+Key support can adapt its look and texts – see Your own receipt template.
- Send receipt – the Send email receipt dialog opens.
In the standard role User, the history entry shows only Print receipt – Send receipt requires the permission Send Email Receipts.
-
In the Send email receipt dialog, define the recipients – as many as you like; they appear as a list in the dialog:
- Any address: type it into the email field and click Add (the button becomes active once the address is valid).
- Select from contacts: opens a list of your users and contacts with their email addresses and a recipient search; Add new contact creates a contact right here.
-
Click Confirm with PIN and enter your personal PIN. Log+Key confirms that the receipt was sent.
Receipt when archiving
When you archive an object, the Archive object dialog offers the switch Print receipt. More in Archiving objects.
Signed receipt for all objects of a person
On a person’s detail page you can have them confirm with a signature which objects they currently have:
- Under Users, open the person.
- Click More actions → Generate receipt.
- The Generate receipt for … dialog lists all of the person’s Taken objects.
- The person enters their Name – without a name, Confirm stays disabled – and signs in the signature pad.
- Click Confirm with PIN and enter your personal PIN.
Log+Key creates a history entry of its own with the action Object confirmed and opens it. From there you print or send the receipt as for any other event. If the person has no objects right now, the dialog says so – with the signature they then confirm that they have nothing taken out.
Recipients and copies
An email receipt goes to a contact from your address book or to another address. In addition, every address an admin enters under Settings → Notification settings → Email receipts: Global email recipients automatically receives a copy of every email receipt – handy for a central mailbox of the key management office.
What the email looks like: it comes from mail@logkey.app, and the subject names the date and time of the event. The message names the object, the time and the person who performed the event, and is signed with your organisation’s name. The detailed receipt is attached as a PDF – with the same details as the print view.
Finding sent receipts
In the History, Filter → Receipt sent shows every event for which an email receipt was sent.
Your own receipt template
If the receipt should carry your own texts and your own design, Log+Key support builds a custom template for you. Contact your contact person or hallo@log-key.de.
