Setting user roles

Which roles exist in Log+Key, how you assign them to a user and why location access is separate from the role.

Roles control what a person is allowed to see and do in Log+Key. You assign them in the Roles field when creating or editing a user — one or more. The field appears as soon as at least one access type (browser or terminal) is enabled.

Available roles

New organisations start with two roles:

  • Admin — for the few people who manage the organisation: creating users, maintaining master data, changing settings.
  • User — for everyone who takes out and returns objects day to day.

What the two roles can actually do:

Accordingly, Users only see Objects, History, Inventory and Help & Support in the navigation; Admins additionally see Users, Contacts, Types, Locations, Tags and Settings.

Log+Key has a granular permission system — individual permissions such as “add users” can be granted specifically. Additional roles with their own permission sets are currently set up for your organisation by Log+Key support; with the next release you will manage roles and permissions yourself in Log+Key.

Assigning or changing roles

  1. Open the Users area.
  2. When creating a user, choose the roles in the Roles field. For an existing user, open their entry, click Edit at the top right and change the field there.
  3. Confirm with Create or Save.

A role is not a location

Independently of the role, you define per user under Location access which locations the person sees. The default is Access to all locations. Switch it off to pick individual locations under Select locations and additionally decide about Access to objects without location. Anyone without access to a location does not see the objects kept there. A dispatcher at the south station, for example, only sees their station’s objects even though they have the same role as the control-room team.

Recommendation

Assign Admin sparingly — to the few people who create users and maintain master data. Everyone else gets by with User. If you need finer gradations, talk to Log+Key support (see above).
