Archiving objects

How to take an object out of your active stock in Log+Key — for instance because it was lost or retired — without losing its history, and how to bring it back if needed.

Objects are never deleted in Log+Key. If a key is lost or a radio is retired, you archive it: it leaves the object list and no longer counts towards your stock. Its complete history is kept.

Object detail page: More actions, Archive, entering a comment and confirming; then the “Archived” filter

Before you start

You need the permission Archive – admins and owners by default. With Archive Comment (also admins and owners) you can add a comment when archiving.

Steps

  1. Under Objects, open the object.
  2. Click More actions → Archive.
  3. The Archive object dialog shows the transition Available → Archived and points out that the connection to the tag will be removed.
  4. Optional: enter a Comment on why the object is archived, for example “Key lost, lock replaced”.
  5. Optional: switch on Print receipt if you need a receipt for the archiving.
  6. Click Archive. There is no PIN prompt; Log+Key returns to the object list.

Only an available object can be archived: for an object someone has right now, the dialog does not open. Book the return first – for example via More actions → Receive object.

What happens next

  • The link to the NFC tag is removed. The tag is free again afterwards and can be linked to another object – see Link an object to an NFC tag.
  • The object leaves the normal object list. With Filter → Archived you still see archived objects.
  • The History records the archiving as an event of its own; all earlier entries for the object are kept in full.
  • In the lists under Types and Locations, the object counts in the Archived column.
  • Archived objects do not count towards your plan’s object limit.

Archiving to get back within the object limit

If your stock is above your plan’s object limit – for instance after switching to a smaller plan – take-outs and returns are blocked. Archiving is then the only action left. Archive objects you no longer need until your stock is within the limit again. Details in Billing & Subscription.

Bringing an archived object back

There is a permission Dearchive for this. It is not set in any standard role – an owner grants it when needed under Managing roles and permissions.

Without this permission, an archived object only offers History under More actions. With the permission it works like this:

  1. In the object list, show archived objects via Filter → Archived and open the object.
  2. Choose More actions → Reactivate.
  3. The Reactivate object dialog shows the transition Archived → Available and points out that the connection to the tag is not restored.
  4. Click Reactivate.

The object is available again afterwards and counts towards the object limit again. Link an NFC tag again if needed – see Link an object to an NFC tag.
