Inventory

An inventory checks whether your stock is complete and in order: you define which objects are included, scan or confirm each one and complete the inventory with a fixed result. The page lists running inventories; completed ones can be shown via the filter.

By default the list shows running inventories only.

What you see here

Each row is one inventory with Name, Status (In progress or completed), Created, Completed, Description, Created by and Completed by. Completed inventories stay hidden until you choose Show completed inventories in the Filter, which also narrows the list by Status and Entries from – until. Search and View work as on the other lists.

At the top you see the status and the description, the button Complete inventory and a Details section. The counters show the current state: Objects in total, Scanned and OK, Scanned and faulty and Open. A notes field takes remarks about the inventory (Save). Below, the table lists every object with Status, Location, Fault description and Scanned at – with its own search, filter and view; CSV exports the list.

What you can do here

  • Create: Add opens “Create new inventory” with a name, a description, Locations (multiple choice, including Without location), a Type and Object movement in time period – then only objects moved in that period count. Without restrictions the inventory covers your whole stock.
  • Carry out: objects you scan or check move from Open to Scanned and get the result OK or Faulty with a fault description. When you scan with an Android smartphone you also see the object’s photo – handy for a visual check of a key bundle. An inventory can run over several days; its state is kept.
  • Complete: Complete inventory closes it; after that the result is fixed and remains as a record.

Who sees this page

Three permissions grade the access: View Inventories shows the list, Conduct Inventories allows checking in running inventories, Manage Inventories additionally creating and completing them. With the standard roles, Users conduct, Admins and Owners manage.
