Log+Key

Documentation Everyday tasks

Exchanging an object

How to document in Log+Key that an object has changed — for instance a key replaced on a bundle — with a new photo, the photo history and an entry in the history.

A key on a bundle gets replaced: the object in Log+Key stays the same, but it now looks different. With Object exchange you swap the object’s photo for a new one that shows its current state. The old photo is not lost, and the history records the exchange.

Object detail page: More actions, Object exchange, uploading a new photo and exchanging

Before you start

You need the permission Object Exchange – set in all three standard roles. So users may exchange too; on the detail page, Object exchange is their only entry under More actions.

Steps

  1. Open the object – by scanning its NFC tag or under Objects.
  2. Click More actions → Object exchange.
  3. In the Exchange object dialog, choose the new photo – 10 MB at most. On a smartphone, your device’s usual choice opens: take a photo or upload an existing image. On a computer, drag the file into the field (Select or drag image here) or click it. A preview of the new image appears below.
  4. Click Exchange. There is no PIN prompt; the new photo becomes the main photo straight away.

Object exchange is in the menu whether the object is available or someone has it right now.

What happens next

  • The new photo becomes the object’s main photo.
  • The old photo is kept: you find it on the detail page under More actions → Photo history. The entry appears once an object has been exchanged at least once; in the standard roles, admins and owners see it.
  • The History gets an entry Object exchanged.

That way you can trace later when an object changed and who booked the exchange.

Good to know

If an object gets a new NFC tag, that is not an object exchange – see Re-link an NFC tag.
