Client leaflet: how we keep your key
A sheet to hand out: how you keep the key, when you use it and what your clients can do — with your logo, ready to print.
Free · no sign-up · your details never leave your browser
To be honest
A leaflet explains the process — your records have to prove it
The leaflet tells your clients how you keep their key and when you use it. If someone later asks who was in the flat and when, only a record of every use helps — on paper, a form for every visit.
Our recommendation: start with Log+Key right away: every checkout and return of the key is recorded there, without a form for every visit. Free for up to 10 objects, for good.
Online generator
Create the leaflet with your logo
Your details never leave your browser: the PDF is made on your device; nothing is sent or stored.
How it works
The generator runs entirely in your browser. On the first click on “Leaflet as PDF” it loads the PDF tool and the font from log-key.de once — your details and logo are not sent anywhere.
Nothing is saved, not even in your browser. Close or reload the page and everything is gone.
Our visitor statistics (Matomo, without cookies) only learn the mode and whether a logo was used, never your wording.

Your key with us
You have entrusted us with a key to your home. Here you can read how we keep it and when we use it.
What we use the key for
Only in an emergency: if you raise the alarm and can’t open the door yourself, we use your key to get in. That way we lose no time, and nobody has to force the door.
How we keep it
Your key is kept in the key store at our head office. There is no name and no address on the key, only a code. Only we can match the code to your home.
Who uses it
Only the members of our staff who come to you. We record who took the key and when it was brought back.
What you can do for us
- Let us know if you have the lock changed. Then we need a new key.
- Don’t leave a key in the lock on the inside. Otherwise we can’t open the door from outside.
- We try the key in your door when you hand it over. If it ever stops fitting, please tell us.
If you want your key back
When the contract ends, or whenever you wish, you get your key back in full. We confirm the return in writing.
Your data
There are no personal details on the key. For your key we only store what we need to keep it and to keep a record.

In brief
A key holding leaflet explains to clients and their relatives in plain words how an alarm or home care service keeps their house key and when it uses it. It answers the usual questions before they are asked on the phone and builds trust — in addition to the signed record.
What’s in it
What the leaflet explains
-
What you use the key for – so nobody worries that someone will turn up uninvited
-
Where the key is kept – knowing the place reassures, without giving away the address
-
A code instead of name and address – explains why a lost key gives away no home
-
Who uses it – only staff who come — and every checkout is recorded
-
What your clients can do – report a changed lock, don’t leave a key on the inside
-
Getting it back – the key comes back in full, confirmed in writing
-
Contact and customer number – the phone number in large print, so it’s easy to read
Tips from practice
What works in practice
-
Hand it over with the record
Hand out the leaflet when you take over the key, together with the key holding record. Your clients then have the proof and the explanation in one go.
-
Think of the relatives
Relatives with power of attorney often ask what happens to the key. A second copy for them saves calls.
-
A code, not an address
Label keys with a number or code only. The leaflet explains why to your clients — and takes away a common worry.
-
Write for 3 a.m.
The number in the contact box is the one where someone answers at night too. If it is only the office number, add the hours.

What you promise your clients, Log+Key records
“We record who took the key and when it was brought back” — Log+Key does that by itself at every checkout. Associations of the German Red Cross, the Johanniter and the Malteser manage their keys with it today.
- Checkout by NFC scan on a smartphone or terminal
- A complete history: who had which client key when
- UMO integration: the key status right in the control centre
- An email reminder when a key is overdue
Log+Key is free for up to 10 objects, for good.
Screencast: a bunch of keys is opened in the object list and taken out; the checkout is confirmed with the signature “M. Muster” on screen, followed by the PIN prompt
FAQ
Questions about the client leaflet
-
Why a leaflet as well as the record?
The key holding record is the proof: it records which keys you took over and is signed. The leaflet explains in plain words what happens to the key afterwards. Your clients keep it, and relatives can read it too.
-
May I change the wording?
Yes. Every text in the generator is standard wording you can adapt to how you work; “Restore standard text” brings it back. Please check the “Your data” paragraph against your privacy notice.
-
Does Log+Key appear on the leaflet?
Only if you want: as a small “Template: log-key.de/en/templates” note in the footer. You switch it off with a tick box in the generator. Otherwise the sheet carries only your name and logo.
-
Are my details stored?
No. The generator runs in your browser and the PDF is made on your device. Nothing is sent to us and nothing is stored, not even in the browser — your logo neither.
-
Is the leaflet available in German?
Yes — it was written in German first. Switch the site to German to create it in German; the ready-made PDFs are there as well.
-
Does the leaflet work for a key safe at the client’s home?
Yes. Choose the key safe at the client’s home under “Where the key is kept”. The leaflet then explains that only your client and you know the code and asks them not to write it down. The code itself never goes on the sheet.
